Create and manage tags
Last updated: July 23, 2026
Tags organize conversations and contacts across the account. They can also trigger workflows, appear in Inbox filters, and act as eligible stages for the Reports funnel.
Review Tags settings
Open Settings → Tags. Every teammate can view and search the shared tag list. Administrators can create and modify tags.
Visual element | Meaning |
|---|---|
Colored dot | The color used wherever the tag is displayed |
Award icon | The tag is marked as a Pipeline Tag |
Action menu | Administrator controls for editing and, when eligible, deleting the tag |
The search field filters tag names as you type. Special Inbox filter conditions such as No Tags, Seen & Not Responded, and Not Responded are not editable account tags and do not appear on this page.
Compare regular, pipeline, and funnel tags
Type | Where it is configured | How it is used | Deletion behavior |
|---|---|---|---|
Regular tag | Settings → Tags | Contact organization, Inbox filters, workflows, and AI actions | Can be deleted after workflow and contact checks |
Pipeline Tag | Settings → Tags | All regular-tag uses plus eligibility for the Reports funnel and a visible pipeline indicator | The Delete action is unavailable until Pipeline Tag is turned off |
Funnel stage | Reports → Funnel Pipeline settings | One of the ordered middle stages in Reports | Must be removed from the funnel before Pipeline Tag can be turned off |
System tag | Created and protected by Winly | Product-defined contact or reporting behavior | Cannot be renamed or deleted |
Marking a tag as a Pipeline Tag does not automatically add it to the Reports funnel. Administrators choose and order funnel stages separately in Configure report goals and funnel stages.
Create a tag
Select Add Tag.
Choose one of the available colors.
Enter a distinct name between 1 and 50 characters.
Select Pipeline Tag only if the tag should be eligible for reporting stages and display as a pipeline status.
Select Create.
Tag names must be unique within the account. Use a single agreed spelling and capitalization for each concept.
Edit a tag
Open the tag's action menu and select Edit. You can change its color, name, or Pipeline Tag setting, subject to these restrictions:
A system tag's name cannot be changed.
A duplicate tag name cannot be saved.
A tag currently used as a Reports funnel stage cannot stop being a Pipeline Tag until it is removed from that funnel.
Renaming a tag updates the shared tag record, but review saved filters, workflow descriptions, AI instructions, and team playbooks that refer to its old wording.
Delete a tag
The Delete action appears only for a regular tag. Before deleting it, Winly checks workflow and contact usage.
Check | What Winly does | Required action |
|---|---|---|
Used by a workflow | Blocks deletion and lists the workflows | Remove the tag from every listed trigger, action, schedule condition, or branch |
Assigned to contacts | Shows the number of affected contacts and asks for confirmation | Select Delete Anyway only when the tag should be removed from all those contacts |
Pipeline Tag | Hides the Delete action | Remove it from the Reports funnel if necessary, edit it, and turn off Pipeline Tag |
System tag | Rejects deletion | Keep the protected tag |
Deleting a tag from contacts can change Inbox filters and contact eligibility. A workflow reference always has to be removed first—even when you intend to delete the tag from every contact.
