Connect email with HubSpot

Winly's Email settings connect to a HubSpot Conversations inbox. Authorization and inbox selection are separate steps: finish both before testing email in the Inbox.

The Email options appears in Settings only for accounts with email enabled. If it is absent, ask Winly Support to confirm availability.

Prepare HubSpot

Before connecting, confirm:

  • The HubSpot user can authorize apps for the intended portal.

  • The intended inbox exists in HubSpot Conversations.

  • The inbox contains an active, authorized email channel with a real sender address.

  • You know which inbox and email address Winly should use when several are available.

HubSpot forwarding addresses ending in .hs-inbox.com, archived accounts, inactive accounts, and unauthorized accounts are not treated as selectable sender channels.

Connect and select an inbox

  1. Open Settings → Email.

  2. Select Connect HubSpot.

  3. Choose the intended HubSpot portal and approve the requested Conversations and contact access.

  4. Return to Winly after HubSpot redirects you.

  5. Open the inbox list and select the entry that shows the intended inbox and email address.

  6. Select Save.

  7. Confirm the page shows the portal, authorizing user, inbox, and email channel you expected.

An inbox with no usable email channel is disabled in the selector. If one inbox contains several email channel accounts, Winly selects the preferred active, authorized account for that inbox.

Change or refresh the inbox

  • Select Refresh inboxes after adding, reauthorizing, or renaming an email channel in HubSpot.

  • Choose another inbox and select Save to change the inbox used by Winly.

  • Treat the displayed inbox and sender address as the source of truth after saving.

The page can show HubSpot as connected as soon as OAuth succeeds, even if no inbox has been saved yet. A selected inbox and email channel are still required for complete message handling.

Disconnect HubSpot email

Select Disconnect only when you intend to remove the HubSpot authorization from Winly.

Email and SMS channel share the same HubSpot OAuth authorization. Disconnecting HubSpot from the Email page removes that authorization and also clears the SMS inbox selection.

If you only need to stop SMS while keeping email, use Disconnect SMS on the SMS settings page.

Verify email

  1. Send a test email into the selected HubSpot Conversations inbox.

  2. Confirm the contact or merged contact appears in Inbox with an email option.

  3. Open the conversation, select the email thread if required, and send a text-only reply.
