Create, edit, and delete workflows

Use Workflows to build automations, review their configuration, and control conversations.

Review the workflow list

Open Workflows to see each workflow's name, description, status, step count, channels, and trigger.

Use the controls above the table to narrow the list:

Channel and trigger filters use OR within the selected filter. For example, selecting Instagram and Facebook returns workflows that include either channel.

Create workflows

Create from Scratch

  1. Open Workflows.

  2. Select Create Workflow.

  3. Select New Workflow.

  4. Select the pen beside the generated name to set a custom name and description.

  5. Select Select Channels and choose every channel on which the workflow should run.

  6. Select the trigger node and configure the event that starts the workflow. See Configure workflow triggers.

  7. Use the plus button on the workflow path to add actions, delays, or branches. See Add workflow actions, delays, and branches.

  8. Select Save Workflow.

  9. Review the status and enrollment settings, then select Save Settings.

A workflow requires at least one channel, one configured trigger, and one step. Winly also checks that every selected channel supports the trigger and actions before saving.

Create a new workflow as Inactive initially. Test it with an identifiable contact before activating it for all contacts.

Create from an existing workflow

Winly provides two ways to copy a workflow:

Open a workflow row's three-dot menu and select Clone Workflow

For either method:

  1. Enter a new name and optional description.

  2. Select the source workflow when using From Existing.

  3. Select Continue.

  4. Review the copied trigger, steps, channels, and settings.

  5. Save the copy as a new workflow.

Review the copied workflow's Active or Inactive choice before saving. Never assume a workflow is inactive merely because it has a new name.

Edit a workflow

Select the workflow name or open its three-dot menu and select Edit.

Deactivation saves immediately; activation opens Workflow Settings for confirmation

If you leave with unsaved canvas, channel, name, or description changes, Winly asks whether to discard them.

Understand what an edit changes

Each workflow run keeps the workflow definition captured when that run started. Updating a workflow changes new runs; it does not rewrite a run already in progress.

If you need to make a significant change:

  1. Set the workflow to Inactive to prevent new enrollments.

  2. Check Workflow Runs for contacts already in progress.

  3. Update and test the workflow.

  4. Reactivate it when the new configuration is ready.

Setting a workflow to Inactive prevents new runs, but it does not cancel runs that already started.

Delete a workflow

You can delete from either location:

  • In the workflow actions list, open the three-dot menu and select Delete.

  • In the workflow editor, select the trash-2 button.

Confirm the workflow name in the dialog before deleting. Deleted workflows disappear from the workflow list and cannot be restored from the interface.

Deleting a workflow prevents new runs but does not cancel an existing run. Historical run records will remain available for diagnosis, although the deleted workflow can no longer be opened from its editor link.
