Saved Replies
Last updated: July 23, 2026
Saved replies help your team answer common questions consistently. Every inserted saved reply remains editable, so review it against the current conversation before sending.
Review Saved Replies settings
Open Settings → Saved Replies. The table is sorted by shortcut and shows:
| Column | What it shows |
|---|---|
| Shortcuts | The / shortcut used to identify or expand the reply |
| Type | Local for a personal reply or Global for a team reply |
| Messages | The reusable content and first-name placeholder |
| Actions | Edit and Delete when the signed-in teammate has permission |
When a local reply uses the same shortcut as a global reply, the global row is shown with a line through it and marked as overridden for that teammate.
Compare local and global replies
| Scope | Who can create it | Who can use it | Who can edit or delete it |
|---|---|---|---|
| Local | Any teammate | Creator only | Creator only |
| Global | Administrator | All teammates | Administrators |
A local saved reply can override a global saved reply that uses the same shortcut. The overridden global reply is not offered in the Inbox composer for that teammate.
Create a saved reply
- Open Settings.
- Select Saved Replies.
- Select New Saved Reply.
- Enter a shortcut beginning with
/, such as/welcome. - Write the message.
- If you are an administrator, choose Local or Global scope.
- Select Save.
A shortcut must contain at least two characters including /. Use clear, memorable shortcuts and avoid reusing an existing shortcut unless you intend to override it locally.
Personalize a reply
Type @ in the message editor and select first-name. When inserted into a conversation, Winly replaces the mention with the contact's first name when available.
Insert a reply from the composer
- Open a conversation.
- Select the Saved Replies control, or press Alt+S (Option+S on macOS).
- Search by shortcut or message text.
- Select a saved reply to preview and insert it.
- Personalize the inserted message.
- Send it when ready.
Use the arrow keys and Enter to navigate the Saved Replies browser. Escape closes it and returns focus to the composer. You can also select the plus control in the browser to create another saved reply.
Use automatic suggestions
When the first word in a draft is at least three characters, Winly can suggest up to three saved replies based on the shortcut or message content. Select a suggestion to replace that first word with the saved message.
You can also type a complete shortcut followed by a space. For example, typing /welcome expands the matching reply in place. The draft remains editable after expansion.
Edit or delete a reply
Open Settings → Saved Replies, select the action menu beside the reply, and choose Edit or Delete. Administrators can change global replies and their own local replies. Other teammates can change only their own local replies.
If a new or updated reply does not appear in the Inbox, refresh the application and confirm that it was saved in the correct scope.
