Manage team members

Open Settings → Team Members to review the people and system-managed users associated with the workspace. Administrators can add users and manage the actions described in this guide.

Add an agent
- Select Add Agents.
- Enter the teammate's email address, first name, and last name.
- Enter and confirm an initial password between 8 and 15 characters.
- Select Register.
Winly creates the account as an Agent. Use the row action menu afterward if another role is required. The released form creates the password directly. Share the initial credentials through a secure channel and ask the teammate to change the password after signing in.
Understand roles

Changing an Agent to a role that is not eligible for allocation clears that user's lead-allocation percentage. Winly prevents a role change that would leave the account without at least one Admin or at least one Agent.
Lead allocation is not the same as manually assigning an Inbox owner. To let Autopilot handle an existing conversation, use Let Autopilot handle this conversation.
Change a name or role
Open the action menu beside another editable teammate and select Change name or Change role.
- A first or last name can contain letters, numbers, spaces, hyphens, and apostrophes. Each field supports up to 100 characters.
- The role menu offers Admin, Agent, Opener, and Closer, excluding the user's current role.
- You cannot use the row menu to change your own name or administrator role.
Review conversation ownership, workflow owner actions, and report filters after a role change.
Set a personal link
- Open the action menu for the intended teammate.
- Select Personal Link.
- Enter a complete URL, including
https://. - Select Save.
For an Instagram conversation, the composer shows the personal-link control when the contact has an Instagram username and an owner with a saved link. Selecting it replaces the current draft with that owner's link and adds the contact username as an IG query parameter. Review Insert a personal link before using it in a live conversation.
Configure lead allocation
Lead allocation controls how eligible new contacts are distributed. It does not reassign contacts that already have an owner.
- Select Lead Allocation.
- Enter a percentage for each listed Agent or Autopilot Bot, or select Split Equally.
- Confirm Total Allocation Remaining is 0%.
- Select Save.
Each value must be between 0% and 100%, and the total must equal 100%. To move existing contacts, change their owner from the Inbox or follow the redistribution flow when deleting a user.
Reset another teammate's password
Open the teammate's action menu, select Reset Password, enter the new password twice, and select Reset Password. The password must contain at least eight characters.
Send the replacement password securely. The teammate should change it from Password and Security after signing in.
Delete a team member
Before deleting access, review contact ownership, active workflows, report filters, personal links, and any external responsibilities assigned to the user.
- Open the user's action menu and select Delete.
- If the user owns contacts, assign redistribution percentages to the remaining Agents.
- Confirm the percentages account for all affected contacts.
- Select Delete.
Winly prevents deletion of protected system users, the Autopilot Bot, and the last remaining administrator. A user with assigned contacts cannot be removed when there is no remaining Agent available for redistribution.
