Configure Copilot assistance
Last updated: July 23, 2026
Settings → Copilot controls the signed-in teammate's own Copilot configuration. Changing it does not update another teammate's Copilot settings or the instructions used by Autopilot.
Copilot appears in Settings only when the feature is enabled for the account.
Compare prompt options
| Prompt type | Prompt source | AI service | What is saved |
|---|---|---|---|
| Default System Prompt | Winly's managed prompt | NA | The personal selection is reset to Default |
| Custom System Prompt | Instructions entered by the signed-in teammate | OpenAI, Gemini, or Claude | The teammate's selected service and custom prompt |
The AI Service and Custom System Prompt controls appear only after you select Custom System Prompt. Save Changes appears only when the page differs from the last saved configuration.
Use the default prompt
- Open Settings → Copilot.
- Select Default System Prompt.
- Select Save Changes when it appears.
The default option removes the personal custom prompt from active use and returns Copilot to Winly's managed behavior.
Create a custom configuration
- Select Custom System Prompt.
- Choose OpenAI, Gemini, or Claude under AI Service.
- Enter the system prompt.
- Select Save Changes.
Both the AI service and a non-empty prompt are required. The prompt is saved for the signed-in teammate as entered.
A useful prompt can define:
- Copilot's role and the tasks it should help with.
- The voice, tone, and response length to prefer.
- Business facts or boundaries it must follow.
- Situations where it should ask for clarification or recommend human review.
Do not include passwords, access tokens, API keys, private customer data, or commitments that have not been approved.
Understand how Settings affects the Inbox
The saved configuration is used when that teammate:
- Opens the Copilot panel and asks a free-form question about the conversation.
- Selects the Copilot icon beside a message to request a message-specific suggestion.
- Reviews, tweaks, and sends a Copilot prediction.
Copilot does not send a response automatically. The teammate remains responsible for reviewing its output. See Use Copilot in the Inbox for the conversation controls and feedback options.
Distinguish Copilot from Autopilot
| Copilot | Autopilot |
|---|---|
| Assists a signed-in teammate in the Inbox | Can handle eligible conversations automatically |
| Uses the teammate's Copilot setting | Uses the account's Autopilot and AI configuration |
| Produces output for manual review | Can act according to configured automation rules |
To change automated handling, use Configure Autopilot conversations instead.
If Copilot settings are unavailable
- If Copilot is missing or redirects to the main Settings page, the feature is not enabled for the account.
- If the page opens but Save is rejected as unavailable, keep a copy of the prompt and ask an administrator or Support to confirm the account's Copilot configuration.
- If no Save button appears, confirm that you actually changed the prompt type, service, or prompt text.
